Expanding our collaboration with NAIVAWASCO, we aim to enhance the existing plant through the Naivasha Treatment Plant Expansion (NTPx). This expansion will enable us to serve the entire non-sewered population of Naivasha and safely treat waste in a cost-effective manner.
To accomplish these goals, Sanivation seeks the services of a competent technical support contractor. The contractor will perform all necessary maintenance, installations, and equipment optimization by reducing downtime through inspections and detailed preventive maintenance, as outlined below.

Firms invited to this Request for Proposal are hereby notified that no relationship can be established between the firm and Sanivation unless based on a formal written agreement or contract. This document serves solely as a solicitation of interest and a proposal for offering legal services to Sanivation. It should not be construed as an offer from Sanivation to enter into a retainer agreement for such services. Your response will be considered an offer to provide said services and not an acceptance of any offer extended by Sanivation.
Submission of proposal
Eligible consultants should submit technical and financial proposals in an electronic format, consolidated into a single PDF document. Proposals should encompass, among other things:

Submission of proposal

Subject to Kenyan laws, applicable industry laws, and all relevant by-laws the consultant
will:
Identify the root causes of extensive downtime, and machine breakdowns.
Develop and implement a comprehensive preventive maintenance program to minimize unplanned downtime for new and existing equipment
Provide recommendations for upgrading or replacing equipment to enhance reliability and efficiency.
Conduct training sessions for the in-house maintenance team on best practices and troubleshooting techniques.
Develop a long-term maintenance strategy to ensure sustained operational excellence.
Oversee the safe and optimized installation of new equipment, ensuring compliance with safety standards and manufacturer specifications.
The selected contractor will be responsible for the following tasks:
1. Develop Annual Maintenance Plan:
Audit on-site machinery and operational requirements. Work collaboratively with Sanivation's operational team to develop comprehensive maintenance plans and schedules for all equipment in the Naivasha Treatment Plant
Take into consideration the specific operational requirements, manufacturers' recommendations, and industry best practices when formulating the maintenance schedules.
Establish a proactive planning system that ensures optimal equipment performance, longevity, and minimal disruptions to operations.
Collaborate with the site team to decide on what maintenance should be done by the site team, and what activities this consultancy should be responsible for.
2. Provide cost and recommendations on being the service provider for identified Preventive
Maintenance as decided by the annual maintenance plan:
Provide a proposal with planned annual maintenance work
3. Provide a proposal for being the service provider for emergency repairs that include:
Establishing a rapid response mechanism to address emergency repairs promptly and efficiently.
Maintaining a 24/7 availability for emergencies, ensuring swift resolution to minimize operational disruptions.
Document and report emergency repairs comprehensively, outlining the cause, resolution, and any follow-up actions required.
1. The successful applicant to sign an agreement with Sanivation after going through the preliminary stages of proposal review and determination. (14th February 2024)
2. Inception Report to include, inter alia, the detailed proposed methodology, and a Work Implementation Plan. (16th February 2024)
3. A progress report of the findings of the assessment and evaluation of the existing equipment, that provides the following by lists and description;
Wearable parts by type and technical description,
Consumables
Schedules of periodic maintenance. (22nd February 2024)
4. Upon the completion of the consultancy, the contractor will submit a comprehensive Final Report containing the following key elements:
Operation protocols per machine, detailed periodic maintenance schedules & inspection checklists.
Specifications and sources of wearable parts & recommended consumables for each piece of equipment.
Requirements and overview plan for installation of new equipment.
Proposal for annual/periodic preventive maintenance & emergency repairs. (5th March 2024)
The Agreement is effective from the date of assignment until March 15, 2024
Payment schedule
Payment of the Consultant for the provision of deliverables outlined in Clause 4 above shall be according to the following schedule:
Acceptance of the Inception Report -30%
Acceptance of the Initial Report -35%
Acceptance of the Final Report -35%
Total -100%
